acc300 A Case Study in ERP System Implementation

Overview

Through research, which must include at least one first-hand account (interview), you will prepare a critical analysis of this implementation project. Your report should evaluate the decisions made, the challenges faced, and the ultimate impact on the organization's performance and processes.

  • The report should include answers to the following questions (each one in a separate paragraph under a highlighted title).
  • (Up to 40% of the total mark should be deducted if the group has not provided evidence of studying a real-world implementation).
  • Credits would be given to answers that include relevant literature from the course textbook and other academic sources.

PART 1: The Foundation (35 Marks)

1. Organizational Profile and Strategic Rationale (10 marks)

  • Provide a brief introduction to the organization. What were the primary drivers and strategic objectives for investing in a new ERP system? (e.g., legacy system inefficiencies, growth-related scaling issues, need for integrated data).

2. ERP Selection and Core Components (15 marks)

  • Which specific ERP system was selected (e.g., SAP S/4HANA, Oracle Fusion, Microsoft Dynamics 365)? Identify and describe the key modules implemented (e.g., Finance [FI/CO], Sales & Distribution [SD], Materials Management [MM], Human Capital Management [HCM]) and their intended purpose.

3. Implementation Approach and Architecture (10 marks)

  • Discuss the implementation approach used (e.g., Big Bang, Phased, Parallel). Was the system deployed On-Premise, in the Cloud, or via a Hybrid model? Explain the rationale behind these choices.

PART 2: The Functional Impact (30 Marks)

4. Transforming Business Processes (15 marks)

  • Provide a detailed example of how a specific business process (e.g., "Procure-to-Pay," "Order-to-Cash") was re-engineered by the ERP implementation. Compare the old process with the new, integrated process.

5. The Role of the Accounting Information System (AIS) (15 marks)

  • The Finance module is often the heart of an ERP. Explain how the AIS within the ERP centralizes accounting data. Describe the types of accounting transactions (e.g., automatic journal entries for inventory receipts, integrated payroll posting) that are now processed automatically.

PART 3: Analysis and Outlook (35 Marks)

6. Evaluating Success: Value, Efficiency, and the Value Chain (15 marks)

  • Based on your research, how has the ERP system added value to the organization? Analyze its impact on the efficiency and effectiveness of the value chain, using specific examples (e.g., reduced inventory costs through better SCM, faster financial closing times).

7. Critical Challenges and Mitigation Strategies (15 marks)

  • Identify at least two significant challenges encountered during the implementation (e.g., change management/user resistance, data migration quality, budget overruns). What strategies were or could have been used to overcome these challenges?

8. Conclusion and Future Outlook (5 marks)

  • Provide a concluding summary on the overall success of the project and the strategic position it puts the organization in for the future (e.g., readiness for AI/analytics, scalability).
