Module 1 - Case

Workforce Planning; Job Analysis, Job Design

Assignment Overview

Job Analysis and Job Design

In this assignment, you are heading up a work team with the task of completing a company-wide review of job descriptions, job specifications, and job design:

  • Job specifications, also known as employee specifications, is a written statement of educational qualifications, any specific qualities needed to be successful in the job, the highest or lowest level of related experience, technical skills, and any special communication skills required to perform a job.
  • A job description includes the basic job-related data that is useful to advertise a specific job to attract a targeted pool of people with specific talent. It includes a variety of information: job title, job location, number of employees reporting to the person holding the job, a summary of the job to be performed, detailed list of tasks and duties to be performed, the workplace conditions, potential hazards in the workplace, any machines or equipment that will be used by the job holder.
  • The order of these 3 tasks begins with creating a job description, followed by a job specification list, which is then followed by the completion of a job design. After all, one cannot design a job without a detailed list of specifications. A job design organizes tasks, duties, and responsibilities into a work unit that relates to job objectives. Basically, a job design refers to what will be done, when it will be done, where it will be done, who will be part of the team to get the work done, and the required tasks to do a job for a specific amount of money.

In this assignment, you are the HR Manager at your current employer or an employer you are familiar with. You have a staff whose main function is to analyze the company’s employment needs for the next 12 months. Your assignment is to analyze the current needs of your company by selecting one of the company’s open positions. (You can improvise background data needed for certain steps in the analysis process.)

In your essay, address the three parts of the assignment listed below:

  1. Describe each step your team will take to analyze a specific job. Next, conduct the analysis process as it is currently done at your organization. Discuss in as much detail as possible what your job analysis steps revealed about the selected job.
  2. Discuss the job specifications for your selected job.
  3. Meet with a colleague or coworker currently in this position and ask them if there is anything you missed that they would add to the position's specifications. TIP: The HR manager could be of assistance to you regarding the process as it is currently done at your place of employment.
