GBL6850 Final Project: Final Communication Plan and Sample

Assignment Overview

This final project challenges you to engage with multiple forms of communication, demonstrate a deep understanding of audience analysis, and apply strategic thinking in communication. You will create tailored content for diverse communication genres (written, verbal, and visual), negotiate in a real-world scenario, and address organizational challenges with a mix of rhetorical and leadership strategies.

The project is broken into five parts that require careful thought, integration, and reflection on the communication skills you’ve developed in this course. If you use generative AI in this assignment, you must submit the evidence of your AI prompts. Overreliance on AI without evidence of your communication and critical thinking is unacceptable and is at risk of failing this assignment.

Project Breakdown:

Part 1: Audience-Centered Communication Strategy

Objective: Examine how audience plays a pivotal role in communication and demonstrate deep engagement with audience analysis.

Task 1: Audience Analysis and Communication Strategy

  • Scenario: A multinational company is launching a new product in both the U.S. and Japan. You are tasked with preparing a communication strategy that targets two different audiences: one in the U.S. (primarily business professionals and investors) and one in Japan (focus on consumers and local business partners).Instructions:
    • Perform an in-depth audience analysis of both groups. Consider cultural, linguistic, and demographic differences. How will these impact the tone, style, and form of communication?
    • Develop two distinct communication strategies—one for each audience. Focus on adjusting language, values, and media preferences (e.g., formal vs. informal, direct vs. indirect communication styles).
    • Write a short (1-page) memo to the senior leadership team explaining how your strategy addresses each audience’s needs and cultural nuances.

Deliverable:

  • Memo (1-page) detailing the communication strategy, explaining how it caters to the audience's needs, and why these approaches are most effective.

Part 2: Collaborative Communication Development

Objective: Use collaboration and cross-functional communication to develop specific organizational materials (written and verbal).

Task 2: Develop Two Audience-Driven Communications

  • Scenario 1 (B2B): Write a formal proposal to a potential business partner (a large retailer) for a joint marketing campaign for the new product.
    • The proposal should clearly demonstrate mutual benefits, focusing on business terms (ROI, market reach, etc.) and strategic alignment.
  • Scenario 2 (B2C): Write a consumer-facing email announcing the product’s launch. Your goal is to create excitement and drive sales, while focusing on the product’s emotional appeal (e.g., convenience, lifestyle fit).Instructions:
    • Each document should use appropriate language, tone, and structure based on the intended audience.
    • Use clear persuasion techniques (e.g., evidence of ROI in the proposal, urgency in the email).
    • Create an email subject line and a call to action in both formats that resonates with the respective audience.

Deliverable:

  • Formal proposal for B2B communication (1–2 pages).
  • Email marketing message for B2C communication (1 page).
  • Self-reflection (1/2 page) explaining how you adjusted your style, tone, and language for each audience.

Part 3: Real-Time Negotiation Role-Play

Objective: Apply negotiation theory to craft a strategy and engage in a simulated negotiation (verbal communication).

Task 3: Negotiation Simulation

  • Scenario: You are negotiating a contract for a joint product distribution agreement with a partner (fictional company). Your company is offering the product, and the partner is providing the distribution. The goal is to reach an agreement that benefits both parties while aligning with your company’s long-term strategic goals.Instructions:
    • Create a negotiation strategy (approx. 400-500 words), focusing on:
      • Your key goals (e.g., favorable pricing, strong distribution terms).
      • BATNA (Best Alternative to a Negotiated Agreement): What will you do if the negotiations break down?
      • Tactics and framing: How will you use reason, logic, and persuasion in this negotiation?
      • Possible objections and how you will handle them.
    • You will role-play the negotiation with a person such as mentor, classmate, colleague, friend, or family members. Record the video or audio of the negotiation. Simulate real negotiation dynamics, including pushback, active listening, and tactical maneuvers.

Deliverable:

  • Negotiation strategy (1 page).
  • Video or audio recording of your negotiation (2 minutes).

    (I NEED THE TRANSCRIPT)

  • Self-reflection (1/2 page)) on the negotiation process: How did you adapt your communication strategy in real-time?

Part 4: Rhetorical Genre Analysis for Problem-Solving

Objective: Use rhetorical genre analysis to design an organizational communication strategy for problem-solving.

Task 4: Strategic Communication Platform Design

  • Scenario: There has been a communication breakdown between the Marketing and Sales teams. Both departments feel their objectives and challenges are misunderstood by the other, which is affecting the collaboration on a crucial product launch.Instructions:
    • Perform a rhetorical genre analysis to identify the most appropriate communication genres to resolve this issue (e.g., team meetings, email communication, internal memos, or Slack updates).
    • Design a communication strategy that uses these genres to:
      • Facilitate clear, actionable communication between departments.
      • Foster collaboration and understanding through active listening and empathy.
      • Prevent future breakdowns by implementing regular check-ins and feedback loops.
    • Write a 1-page communication plan explaining how you would implement this strategy.

Deliverable:

  • Communication plan (1 page) that outlines the genres chosen and the rationale for each.

Part 5: Integration of Communication Strategies

Objective: Synthesize all components into a unified communication strategy for a real-world organizational challenge.

Task 5: Final Communication Strategy Report

  • Scenario: You have been hired as a communication consultant for a medium-sized company that is launching a new product in both the domestic and international markets. Your final deliverable will synthesize all previous work into a comprehensive communication strategy. This includes addressing audience analysis, stakeholder communication, negotiation approaches, and internal communication platforms.Instructions:
    • Incorporate elements from each part of the project (audience-centered analysis, B2B/B2C communications, negotiation strategy, and rhetorical genre analysis) to develop a holistic strategy.
    • Highlight key takeaways from your communication materials, explain how your approach would work in practice, and provide actionable recommendations to ensure communication success.

Deliverable:

  • Final communication strategy report (3 pages) synthesizing all of the project components.

Submission Requirements:

  1. Audience Analysis and Communication Strategy Memo (1 page)
  2. Formal Proposal (B2B) and Consumer Email (B2C) (1–2 pages each)
  3. Negotiation Strategy (1 page) and Record of Negotiation (video/audio)

    (I NEED THE TRANSCRIPT)

Use NXU citation style. The sources should not solely rely on general websites but come from credible, peer-reviewed journals, books, or reputable institutions.
  2. Documenting AI Use: If you have used AI tools (like ChatGPT, Grammarly, etc.) during the creation of your assignment, you mustdocument their use. This includes:
    • Describing how you used the AI (e.g., for drafting parts of the communication, generating ideas, refining language, etc.).
    • Mentioning any specific AI tools used (e.g., "ChatGPT was used for idea generation during the initial brainstorming phase").
    • Be transparent about how AI contributed to the final output but ensure the primary intellectual work is your own. AI should not be the sole contributor to your project.
