Case Study: Identifying and Managing IT Requirements
Scenario: The organization, "Tech Solutions Corp," is planning to implement a new Customer Relationship Management (CRM) system to improve customer interactions and streamline operations. The CEO has emphasized that the new system must support multiple departments, integrate with existing software, and comply with industry regulations. However, the project team is struggling to identify and prioritize the requirements effectively.
To address this challenge, the team must consider three types of requirements for this IT initiative:
- Business Requirements: The high-level goals and objectives of the project, such as improving customer satisfaction, reducing operational costs, and enabling better reporting.
- Functional Requirements: The specific features and functionalities the system must have, such as data input fields, reporting dashboards, and role-based user access.
- Non-Functional Requirements: The qualities of the system, such as performance, scalability, security, and compliance with regulations.
Additionally, the team must perform three key activities to gather these requirements effectively:
- Stakeholder Engagement: Identify and involve all relevant stakeholders (e.g., department heads, employees, IT team) to understand their needs and expectations.
- Requirements Elicitation and Documentation: Use techniques like interviews, surveys, workshops, and document analysis to capture detailed requirements.
- Requirements Validation and Prioritization: Validate the feasibility of requirements and prioritize them based on organizational goals, available resources, and timeline constraints.
Challenge: The project manager has scheduled a workshop to finalize the requirements. However, disagreements among stakeholders regarding priorities and non-functional requirements are delaying the process.
