week 1 and 2 , Final project check in

Overview

Week 1 Class 1 Assignment: Final Project Check In

Risk management is the systematic process of identifying, analyzing, and responding to event risks. It includes maximizing the probability of positive events and minimizing the likelihood and consequences of adverse events, in line with project objectives. A risk management plan defines how a project team will handle risks to achieve their goal. Plans include the protection of all stakeholders at an event, including the venue, staff, community, and attendees. Risk includes physical, operational, economic, legal, ethical, and reputation risks. You will create a risk management plan for your final project, which will be due in sections throughout the course.

  • Please review the attached document for full details about this project! I attached below.
  • For more information about how you will be assessed, refer to the following Rubric

📍Class 1 Assignment: Final Project Check In

For this first check-in, consider the types of events that could be held at a venue. Select an event that you would like to manage as a professional event planner and the venue in which it would take place (existing or imaginary). Write a brief ( minimum 2 paragraph ) explanation of your choice and why you made it. Include details of your venue (amount of seating, indoor or outdoor, etc.) and how your event would be set up at the venue.

Course resource for week 1 : all of them below.

I have attached a file that explains the entire assignment and the professor’s requirements for the 2025-2026 spring semester. Read it all please!

Then I have chosen a professional health conference as my event. The venue is a medium-sized indoor conference hall with 250–300 seats. The setup includes a main stage for keynote speakers, seating rows for attendees, a registration area at the entrance, and a catering/coffee area at the back, with clearly marked emergency exits.

Why this event and venue: I work at the Ministry of Health, and managing such events is essential for my country. I want to learn wise and effective event management to organize future health conferences under skilled leadership. This choice allows me to practice risk management concepts in a professional setting while preparing for real-life public health initiatives.

Important notes: The professor is very detail-oriented, so make sure the description is deep and thorough. This event and venue choice will be the base for Week 2, so all details must remain consistent. Submit Week 1 as a separate file. You can use imagination; realism is not required, but focus on depth of detail and managing the event in all its small and large details.

📍Week 2 Assignment #2: Final Project Check In

For this check-in, consider the content you reviewed this week on creating a risk and stakeholder matrix and communications plans. Perform further research on your own. Then create a risk and stakeholder matrix and communication plan for your event and venue. Your communication plan should include pre-, during-, and post-event details. You may find A Guide to Crisis Communications for Business Events Strategists helpful.

Instructions to good write!

This is Week 2 of the final project, building on the event and venue from Week 1 (Professional Health Conference, medium-sized indoor hall.

What to do:

Create a Risk Matrix for the event (physical, operational, economic, legal, ethical, reputational risks).

Create a Stakeholder Matrix (who are they, their influence, communication needs).

Develop a Communication Plan: pre-event, during event, and post-event.

Use the course content as guidance. I have attached all below (videos and articles on risk, stakeholders, and crisis communication). You can imagine details if needed, but make them deep and thorough.
