Management Question

Overview

Discussion - Consultant Challenge: Fix the Flow

You’ve just been hired as a process improvement consultant by a regional health services provider. Their patient intake and scheduling system is creating long delays, repeated information requests, and confusion between departments. Leadership has requested a Value Stream Mapping (VSM) event to understand and redesign the current process.

As part of your consulting team’s prep work, address the following:

  1. What steps would you take to prepare for the VSM session? Who needs to be involved, and what kinds of data should you gather?
  2. Based on what you know of VSM and design thinking, what challenges do you anticipate in mapping this process and uncovering inefficiencies? How would you ensure the insights gained lead to meaningful change?
  3. What strategies would you use to ensure buy-in across departments during and after the VSM effort—especially from those who might resist process scrutiny?

👓 You don’t need to solve the whole process—focus on how you would lead the improvement effort. Frame your response as if you're making recommendations to a senior leadership team.

Harvard Business Publishing Case Study: Value Stream Mapping at Sysinteg

After reviewing this week's readings/videos & the Value Stream Mapping at Sysinteg case study (Link above), in 800 - 1000 words (no more than 4 pages) please address the deliverables below:

  • What concerns did XS Incorporated have when making the decision to implement a Value Stream Mapping into their operations?
  • Discuss the benefits that come from hiring a consultant with lean experience like MEP? Are there any challenges or cons from incorporating outside consulting?
  • Why must XS incorporated analyze both the current and future state maps? What techniques should they incorporate to accurately reflect the processes in each?
  • XS Incorporated as chosen a diverse group of employees to take part in the Value Stream Mapping. What benefits does group diversity have when conducting such initiatives?
  • Do you have any further recommendations for XS Incorporated in regards to the referenced operations?
VSM's are frequently used in business processes ranging from the manufacturing floor to the office. VSM's are typically incorporated into office processes/practices that have multiple steps/inputs which align in achieving the same end goal. An example of this would be a financial month close process in a Finance department. The business cell could use a VSM to provide their monthly financials more effectively
